JOB SUMMARY:

The Senior Retail Purchasing Specialist will be responsible for overseeing all components of the retail purchasing invoicing process and will communicate and follow up regularly with the Retail Purchasing Specialists, store personnel, retail buyers, and external vendors. Ownership of this process includes, but is not limited to, logging and tracking purchase orders, organizing and tracking vendor invoices, and overseeing the complete lifecycle of the store > buyer > AP > treasury > vendor payment process. The Senior Retail Purchasing Specialist also assists with managing key vendor relationships, onboarding new vendors, communicating with AP and AR partners on vendor invoicing and updates to payment terms and remittances, and ensuring timely and quality completion of other retail purchasing processes and needs.

JOB DUTIES:

Core duties and responsibilities include the following. Other duties may be assigned.

  • Collaborate with Director of Purchasing to create ordering-to-invoice payment process that is organized and effective.
  • Implement effective tracking system to own the life cycle of a purchase: Purchase Order > Sales Order > Delivery > Invoice > Store Approval > MGR Approval > Buyer Approval > AP Approval > Treasury Payment.
  • Drive and delegate components of said system to the Retail Purchasing Specialist team, including supervision of administered tasks, to ensure system is applicable and efficient not only internally, but also for vendor partners and other external stakeholders.
  • Maintain effective cross-functional partnership with Purchasing, Retail Operations, Merchandise Planning & Allocations, and Accounting, and collaborate with other applicable internal departments to develop and execute processes.
  • Create, maintain, and manage weekly and monthly reporting to highlight status of invoicing actions necessary both internally and externally and share with field, corporate, and senior leadership partners.
  • Maintain pulse on upcoming trends, and new vendors; establish and maintain relationships with new vendors.
  • Perform daily duties as they relate to 5 Rights of Buying: Right Quality, Right Quantity, Right Price, Right Placement, Right Timing.

SUPERVISORY RESPONSIBILITIES:

General oversight of Retail Purchasing Specialist team as it relates to implementation of tracking system for purchase order-to-vendor payment.

JOB REQUIREMENTS:

  • Bachelor’s degree in Business Administration, Management, Communications, or related field, 2+ years’ experience or equivalent
  • Experience with ERP and/or Inventory Management systems; advanced Microsoft Excel skills required.
  • Proven ability to establish strong credibility and build relationships, operate in an environment of ambiguity, and maintain strict confidentiality.
  • Working knowledge about the cannabis industry, customer requests, and upcoming trends and vendors.
  • Highly analytical, capable of turning raw data into information and insights.
  • Strong financial and analytical skills, prior experience developing and managing a budget.
  • Excellent organizational skills, ability to develop and implement operational best practices.
  • Good judgment in a fast-moving environment with the ability to prioritize and execute multiple tasks.
  • Must possess excellent business judgment, strong written and oral communication skills, and a practical, common-sense approach to getting things done.
  • Must be at least 21 years of age and able to pass a background check.
  • Must be able to obtain & maintain required state licenses based on work location.
